Job Summary:

The Lead Talent Coordinator plays a critical role in delivering a best-in-class hiring manager and candidate experience. This person will own high-velocity interview scheduling across multiple recruiters, ensuring interviews are coordinated seamlessly, communications are clear and timely, and next steps are proactively driven forward.

Beyond scheduling, this role will partner closely with recruiters and hiring managers to keep processes moving, identify bottlenecks, and continuously improve workflows to enhance candidate experience.

As a senior member of the coordination team, this person will support other coordinators, share best practices, and elevate coordination standards. They will serve as a daily ambassador of OpenGov through thoughtful candidate communication, professionalism, and attention to detail.

Responsibilities:

Interview Coordination & Scheduling

  • Orchestrate Interviews: Partner with Recruiters to execute interview strategies and manage high-volume scheduling (Phone, Video, Onsite) with urgency and a solution-oriented mindset.

  • Schedule phone, video, and onsite interviews across multiple time zones.

  • Coordinate complex interview loops and panel interviews.

  • Manage rescheduling requests and last-minute changes efficiently.

  • Ensure interviewers have confirmed availability and required materials.

Elevate the Candidate Experience

  • Champion the Journey: Take full ownership of the candidate experience, ensuring every individual is treated with dignity, respect, and clear communication.

  • Lead the Day-of: Act as the primary point of contact for candidates and hiring managers, troubleshooting logistics in real-time to ensure a seamless experience.

  • Provide timely communication, confirmations, and follow-ups.

  • Share interview logistics, preparation materials, and directions as needed.

Optimize Operations & Systems

  • Process Innovation: Own end-to-end coordination processes by creating and refining best practices, assist with job postings on internal and external job board, building interview plans on Ashby, drafting offer letters, coordinating background verification updates and being a liaison between HROPs and TA, and organizing check-ins and engagement activities for offered candidates.

  • Scheduling Data Hygiene: Maintain high data integrity within Ashby (ATS) by ensuring accurate interview scheduling records, updating candidate and interviewer statuses, and tracking reschedules, cancellations, and no-shows to keep the recruiting pipeline clean and reliable.

  • Scheduling Metrics & Insights: Pull and analyze reports on interview reschedules, interviewer/candidate defaulters, and scheduling turnaround times to provide actionable insights to TAOps and hiring teams, helping improve scheduling efficiency and overall recruiting metrics.

Support Growth

  • Collaborate with the global US Coordination team to establish, implement, and continuously improve coordination best practices

Requirements and Preferred Experience:

  • A Track Record of Success: 4 + years of Professional experience in talent coordination or a high-volume operations role. Experience in a SaaS or startup environment is a plus.

  • Technical Savvy: Proficiency with ATS platforms (specifically Ashby) and Google Suite. You enjoy learning new tools and finding ways to automate the mundane.

  • Communication & Diplomacy: The ability to communicate with warmth and clarity across email, text, and phone. You handle sensitive information with the highest level of confidentiality.

  • Adaptability: You are organized and detail-oriented but can pivot quickly when priorities shift. You see a scheduling conflict as a puzzle to be solved, not a roadblock.
