The Account and Admin Manager is responsible for the overall leadership, management, and strategic direction of the Accounting and Administrative functions across India. This role requires strong leadership to supervise, mentor, and direct the Assistant Account and Admin and Admin Executive. The Manager will ensure the integrity of financial systems (NetSuite) and records, facilitate seamless cross-border financial processes, and guarantee strict compliance with local financial and statutory regulations in both jurisdictions.
Financial & Systems Leadership (Oversight & Strategy)
- Lead the financial operations and ensure the integrity and accuracy of all financial records using NetSuite (and other accounting softwares) for both Malaysia and Singapore, ensuring seamless integration and consistency across both countries.
- Supervise and review the work of the team related to full-cycle accounting, including transaction processing, general ledger maintenance, month-end/year-end closing procedures, and tax compliance (e.g., GST/SST/Corporate Tax).
- Coordinate and finalize management accounts and financial statements for both regions, providing detailed analysis and strategic insights to the Regional Manager.
- Direct and prepare for internal and external audits, ensuring all financial documentation is complete, accurate, and readily available.
- Collaborate closely with the International Finance Team to ensure proper and timely adherence to group accounting policies, reporting formats, and deadlines. This includes aligning on audit requirements and addressing complex cross-border tax issues.
- Periodically conduct budget variance analysis to monitor expenditures against approved budgets and forecasts, investigating significant variances and recommending corrective action to the Regional Manager to ensure financial resources are used within plan.
Team Management and Development
- Manage, mentor, and evaluate the performance of the Assistant Account and Admin and the Admin Executive, fostering a high-performance and compliant work environment.
- Delegate tasks, set priorities, and monitor deadlines for the team regarding invoice logbook updates, bank reconciliations, payment processing, and administrative duties.
- Conduct internal training on new financial policies, system usage (NetSuite), and compliance requirements to continuously develop the team's capabilities.
- Actively foster and maintain a positive, collaborative, and inclusive team working environment, promoting clear communication, mutual respect, and professional growth among all team members.
Compliance and Administrative Oversight
- Develop, implement, and enforce financial and administrative policies and procedures that enhance operational efficiency and guarantee strict compliance with statutory regulations in India.
- Oversee and ensure timely and accurate invoicing through NetSuite and manage the timely payment of office bills and client accounts receivable in both locations to maintain financial health.
- Direct the Admin Executive in managing HR administration tasks (e.g., leave, payroll coordination) and general office administration, ensuring operational smoothness.
- Lead the administrative tasks related to finance, including reviewing payment vouchers and managing client communication regarding payment matters across both markets.
Strategic Reporting & Analysis
- Conduct advanced financial analysis and reporting using Microsoft Excel and NetSuite data, providing sophisticated insights, forecasts, and variance analysis that inform strategic business objectives across both regions.
- Regularly report to the Regional Manager on the financial health, compliance status, and operational efficiency of the Accounting and Admin departments in India.
Requirements & Qualifications
- Education: Bachelor’s or Master's degree in Accounting, Finance, or a related field. Professional accounting certification (e.g., CPA, ACCA) is highly desirable.
- Experience: Minimum of 5 years of progressive experience in accounting and administration, with at least 2 years in a supervisory or managerial role.
- Multi-Jurisdictional Expertise: Comprehensive understanding of financial regulations, tax compliance, and accounting principles applicable in India is mandatory.
- Technical Skills: Expert-level proficiency in accounting software, specifically NetSuite, with extensive experience in managing multi-country financial systems. Advanced proficiency in Microsoft Excel.
- Core Competencies: Exceptional leadership, delegation, and team-building skills. Proven ability to direct, coordinate, and mentor staff across different geographical locations.
- Commitment: Willingness to work flexible hours as needed to coordinate across time zones and meet critical deadlines.
