In this role, you will evaluate and enhance workplace processes, manage workplace planning initiatives, and collaborate with IT and People Operations to ensure smooth onboarding/offboarding protocols.

Everyday, you will manage the company events calendar, liaise with vendors for high-quality services, and maintain KPI reporting, including environmental audits and real estate analytics.

To thrive in this role, you must possess a Bachelor's degree, proficiency in Microsoft Office, strong analytical skills, and a customer-centric mindset with attention to detail and the ability to work well under pressure.

About the Team:

The Illumio Real Estate & Workplace Services (REWS) Team prides itself on being the backbone of the company. To support our extraordinary teams, we’re looking to add a Workplace Services Analyst located onsite at HQ in Sunnyvale, CA Monday through Friday during office hours (8am-5pm). Reporting to the Head of Real Estate & Workplace Services, our goal is to provide a great workplace experience where all Illumineers can operate efficiently and effectively in a clean, safe and fun environment.

We are seeking a detail-oriented and analytical Workplace Services Analyst to join our team. As a Workplace Services Analyst, you will be responsible for optimizing workplace processes, ensuring the efficient use of resources, and providing valuable insights to enhance the overall workplace experience. The ideal candidate will possess strong analytical skills, a customer-centric mindset, and a proactive approach to problem-solving.

Key Responsibilities:

  • Evaluate and upgrade existing workplace processes and workflows to identify opportunities for optimization and efficiency improvements.

  • Support workplace planning initiatives, including desk assignments, seating arrangements, relocations, and other initiatives as needed.

  • Responsible for the workplace planning initiatives to include project management and execution of small workplace projects that may include people moves, tenant improvements, maintenance, repairs, etc. desk assignments, seating arrangements, relocations, and other initiatives as needed.

  • Collaborate with IT and People Operations to ensure employee onboarding/offboarding protocols are adhered to.

  • Act as the Workplace Services representative to conduct new hire orientation, desk set-up, employee badging, business cards, etc. to ensure a smooth and welcoming onboarding experience for employees.

  • Liaison with vendors and service providers to ensure the delivery of high-quality workplace services. This includes subcontractor and vendor service providers to provide a high touch service to internal stakeholders.

  • Manage the company events calendar for the year, and partner with various employee groups to schedule, facilitate and plan employee events such as happy hour, special holiday events and intern events during the summer.

  • Manage KPI reporting which includes, caseload details, environmental audits, vendor service tracking, real estate analytics, badging and travel, and provide quarterly reports and trending analysis.

  • Mange all Workplace Service administrative functions including expense report management, office supply inventory, and submitting routine maintenance repairs.

  • Manage all incoming and outgoing mail in a timely and efficient manner.

  • Greet and welcome guests, visitors, and candidates to Illumio, and providing the correct protocols for on site visitors.

  • Maintain strict security protocols, and escalate security issues to Head of Real Estate & Workplace Services

  • Represent the Illumio brand and culture with a professional demeanor to internal employees, visitors, and candidates.

  • Ensure reception area is kept up to the Illumio standards to ensure a welcoming environment for all visitors.

  • Other duties as assigned by Head of Real Estate & Workplace Services, ie. travel program via Navan.


  • Bachelor's degree in Business Administration, Analytics, or a related field

  • Proficiency in Microsoft Office Programs

  • Ability to implement and upgrade procedures in a fast-paced and evolving environment

  • Excellent customer service skills

  • Ability to maintain confidential information

  • Excellent time management skills

  • Have a can-do attitude where no task is too small

  • Highly motivated individual with great attention to detail

  • Strong decision-making skills

  • Ability to work under pressure and with minimal supervision

  • Reliable with patience and professionalism

  • Bilingual Spanish skills is a plus

Pay Range:

$74,000.00 USD - $85,000.00 USD

The pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, location, experience, knowledge, skills, abilities, as well as internal equity, alignment with market data, or applicable laws.
